Greyhound Chip ID respects your privacy. This Privacy Policy sets out the basis on which we process any personal data we collect from you or that you provide to us. Greyhound Chip ID collects, uses and stores your personal data, as described in the General Data Protection Regulation (GDPR) and only in the course of operating our business. The personal data will be adequate, relevant and not excessive.

Greyhound Chip ID collects the following information in regard to keepers and trainers:

  • Name
  • Address
  • Telephone number/Mobile number
  • Email address
For the purpose of:
  • Microchipping of greyhounds as required under the Microchipping of Cats and Dogs (England) Regulations 2023
This information is collected through automated data feeds from the registration database of the Greyhound Board of Great Britain.

Who Else Has Access to the Information You Provide Us?

Greyhound Chip ID shares your personal information with the Greyhound Board of Great Britain and with third parties who are service providers for the purposes of providing services to you. We disclose only the personal data that is necessary for the third party to deliver its service to you.

Greyhound Chip ID employ other companies to perform functions on our behalf such as cloud servers providers, IT hardware and software consultants and security back-up system.

In compliance with the Microchipping of Cats and Dogs (England) Regulations 2023, animal welfare officers can access the Greyhound Chip ID website to get details regarding individual microchips. They can search the website using microchip numbers but cannot search by name or contact details of keeper or trainer.

Greyhound Chip ID may disclose your personal information in order to comply with any legal obligation, accountants and consultants.

Contracts are in place that require third parties to keep your data secure.

How Long Do We Keep Your Information

An individual has the right to have outdated or inaccurate personal data removed in line with their right to be forgotten. Such decision to remove/delete information will be made by the Management of Greyhound Chip ID in conjunction with Management of the Greyhound Board of Great Britain.

However, personal information is held on our computerised system to comply with statutory and regulatory obligations under the Microchipping of Cats and Dogs (England) Regulations 2023. To comply with these obligations, we have determined that personal information pertaining to microchipping should be held for 15 years.

Your Rights

You have the following rights under GDPR:

  • to access your personal data held by the Greyhound Chip ID by submitting a written request together with proof of identity to the Welfare Department, Greyhound Board of Great Britain, 3rd Floor, 1 Knightrider Court, London EC4V 5BJ, England. Your request should include additional information which would help us locate your information. We will respond to your written request within 30 days.
  • to be provided with information about how your personal data is processed.
  • to have your personal data corrected if inaccurate or incomplete.
  • to have your personal data erased in certain circumstances if no longer required for the purpose it was obtained by Greyhound Chip ID.
  • to object to or restrict how your personal data is processed.
  • to have your personal data transferred to you in a standard format or to a third party.
We may refuse to grant an access request, if the request is deemed unfounded or excessive.

How We Protect Your Personal Data

Greyhound Chip ID has implemented GDPR standards for technology and operational security to ensure the security, integrity and privacy of personal data from loss, misuse, or unauthorised intrusion, alternation or destruction. We have applied encryption for hardware and software to best protect your data. Only authorised personnel are permitted to access personal data in the course of their work.

We will notify you promptly of any breach of your personal data.

Data Portability

An individual has the right to receive personal data concerning them for transmission of that data to another controller without undue delay but at least within one month of the request.

Data portability does not automatically trigger the erasure of data from Greyhound Chip ID system and does not affect the original retention period applying to the data which has been transmitted.

Consent

By continuing to provide your personal data to the Greyhound Chip ID, you are consenting to our use of your personal data in the course of operating our business as set out in this Privacy Policy.

You may withdraw your consent at any time but in doing so Greyhound Chip ID will be unable to continue to provide a service to you.
